MINUTES- BOARD MEETING
MONDAY, FEBRUARY 21, 2005
PENN STATE ALUMNI ASSOCIATION
GREATER JACKSONVILLE CHAPTER
PRESENT: Josiah Pritchard, President, Jodie Davis, Vice-President/Social Chair.
ABSENT: Danielle Howard, Secretary, Bob Streightiff, Treasurer, Bill Dusack, Immediate Past President, Rich Holtz, Athletics Chair, Judie Crabb, Volunteer Chair.
The meeting was called to order at 6:45 p.m. by Josiah Pritchard, President.
The minutes of the January 14th meeting were reviewed and approved 2-0.
The purpose of this meeting is to cover details for the Spring Banquet. Jodie and Josiah will request that Danielle add an addendum to these minutes to address any unanswered questions from last night. Those questions will be in red print throughout these minutes. It was decided that the current newsletter will go to current members only. Deadline for articles was today, February 21. Danielle is requested to include a letter about succession planning. (On a side note, the Davis family is confirmed to transfer to Detroit, but plans to return when Gary retires in four years).
President's Report: Josiah just received notice that this chapter is now considered a "Group of Distinction" by the Alumni Association. We received a special patch to be affixed to our banner. This recognition comes with benefits. The chapter can now order membership cards, which Josiah will be doing to distribute at the banquet. We also now have access to a listserv. We have priority in the ticket lottery for bowl games, and we are eligible for special program funding (including up to $500 for speakers).
Vice-President's Report: Josiah will continue to work on a counter for our website, and Jodie will continue to update the website. Jodie requests that if anyone sees anything that needs updated, to please let her know.
Secretary's Report: No report.
Treasurer's Report: No report.
Volunteer Chair Report: No report.
Social Chair Report: deferred until discussion of Spring Banquet.
Athletic Chair Report: No report.
Spring activities include Dining With the Lions. 13 people attended a VERY leisurely dinner at JJ’s Bistro de Paris last Saturday night. Upcoming dinners will be at the Athens Café, Longhorn Steakhouse and The Lemongrass Restaurant.
Discussion then turned to the spring banquet at Glen Kernan on March 19. Josiah is continuing to work on a speaker. At the beginning of the meeting, Josiah mentioned that he heard that John Hufnagle lived in Jacksonville, so he looked up his number in the phone book and called and left a message. Whether or not this is THE John Hufnagle has yet to be determined! March 19 is confirmed with Glen Kernan. As we did last year, it was decided that we will start at 6 with drinks, and dinner will be at 7. Jodie will make name tags ahead of time for check in. Discussion of drink tickets ensued. Jodie will sell the drink tickets at check in. However, no conclusion was reached as to how to differentiate between differently priced drinks. Different colored tickets was discussed (Jodie will research where to get the other tickets), as was making the tickets one price, the average of the drink prices, with the chapter absorbing any possible shortage.
The Board asks Danielle to remind us of the drink prices, so that an informed decision can be made. Drink ticket pricing is as follows: Beer $3.50 (Domestic Bottles & Draft); Wine $6.00 (House Brand – Bel Arbor); Well Liquor ($5.75); Call Liquor $6.50; Premium Liquor $7.00. I recommend three drink ticket levels for beer, wine and well liquor – I don’t think there is a need to offer call and premium liquors, it gets too confusing. I would use three different color tickets. We can print up something on different colored paper and cut them apart if we can’t find three color tickets. I would not make the tickets one price – there is too much difference in pricing. Remember, prices include tax and gratuity. I think we should try to pre-sell the liquor tickets and have people send the money in with their $30 for the dinner - Danielle
The Board also asks Danielle to add the dress code to these minutes. NO denim and men must wear a collared shirt - Danielle
Josiah is continuing to work on acquiring raffle prizes, including the "grand prize" for those that pay their dues with their banquet registration. Since the tickets will be used for drinks, a basket or fish bowl will be placed at check-in for those that attend to register themselves for raffle prizes.
Volunteer Opportunities: Josiah will develop a survey to be distributed at the banquet that will get feedback from members as to what they would like to do as volunteers. Josiah is requesting that the Board email any ideas to be included to him ASAP.
The next Board meeting is scheduled for Monday, March 14 at 6:30 p.m. (please note the new time) at Josiah’s.
This meeting will only be to finalize details for the spring banquet. There being no other business, the meeting adjourned at 7:05 p.m.
